Increasing office automation and organizational restructuring will lead to average growth in overall employment of secretaries and administrative assistants. The role of the office professional has evolved. Office automation and organizational restructuring have led secretaries and administrative assistants to assume many responsibilities. Many administrative assistants' can do different duties such:
- orientation for new staff;
- conduct research on the Internet;
- operate and troubleshoot new office technologies…
Although there were many functions moreover, the core responsibilities for secretaries have remained much the same. Secretaries are responsible for a variety of administrative and clerical duties necessary to run an organization efficiently. The most regular duties of the secretaries are:
- serve as information and communication managers;
- plan and schedule meetings and appointments;
- organize and maintain paper and electronic files;
- manage projects;
- use the telephone, mail services, Web sites, and e-mail.
- handle travel and guest arrangements.
The tasks are aided by a variety of office equipment, such as fax machines, photocopiers, scanners, and videoconferencing and telephone systems.
Specific job duties vary with experience and titles. Some secretaries such as legal and medical secretaries requiring knowledge of technical terminology and procedures, for instance, legal secretaries and medical secretaries.
This job often involves sitting for long periods and that can caused different problem such problems of eyestrain, stress, and repetitive motion ailments.
There are different types of timetable; there is the full time, the part time. The timetable is generally flexible and alternative. Some secretaries prefer the telecommuting.
Discretion, good judgment, organizational or management ability, initiative, and the ability to work independently are especially important qualities for the secretaries.
Because the function of the secretaries evolves overall employment of secretaries and administrative assistants is expected to grow. It is due to the new technologies and numerous job openings. Increasing office automation and organizational restructuring will continue to make secretaries more productive in coming years. Developments in office technology are certain to continue and they will bring about further changes in the work of secretaries.
